Cancellation & Refund Policy

We believe in fair, transparent terms. This policy explains how cancellations and refunds work across all our service plans β€” no fine print, no surprises.

1. Free Trial

Our free trial of up to 15 hours is provided at no cost and requires no payment details. There is nothing to cancel or refund for the free trial period. You may simply choose not to proceed after the trial β€” no action required, no questions asked.

2. Cancellation β€” Hourly Plan

For clients on the hourly plan:

  • You may cancel the engagement at any time with a 9-week written notice
  • Services continue and are billed normally during the notice period
  • There is no cancellation fee if notice is provided as required
  • Cancellation without the required notice period may result in a charge equivalent to the fees that would have been payable during the notice period

Notice must be provided in writing to info@thebookkeepingcompany.us. The notice period begins from the date we acknowledge receipt of your written notice.

3. Cancellation β€” Dedicated Staff Plan

For clients on the dedicated staff (monthly) plan:

  • A 9-week written notice is required to cancel
  • The monthly fee for the current billing period is non-refundable once the service period has commenced
  • If notice is given mid-month, services continue until the end of the 9-week notice period
  • No new monthly charges are raised after the notice period expires

4. Refund Policy

4.1 Hourly Plan

Fees for work already completed are non-refundable. If you believe you have been incorrectly charged for hours not worked, please contact us within 7 days of receiving your invoice. We will review timesheet records and issue a credit or adjustment if an error is confirmed.

4.2 Dedicated Staff Plan

Monthly fees paid in advance are non-refundable once the service period has commenced. However:

  • If we are unable to provide the service for any reason attributable to us, a pro-rated refund will be issued for the unused portion of the period
  • If you are dissatisfied with service quality, please contact us immediately β€” we will work to resolve the issue or arrange a staff replacement within 2–5 weeks

4.3 Exceptional Circumstances

In cases of genuine extenuating circumstances (serious illness, force majeure, etc.), we will consider refund or waiver requests on a case-by-case basis. Please contact us directly to discuss.

5. Staff Replacement

If you are not satisfied with your assigned bookkeeper's performance, we will arrange a replacement within 2–5 weeks at no additional cost. This is our commitment to quality β€” not a cancellation. We encourage clients to raise concerns early so we can resolve them quickly.

6. Service Disputes

If you have a dispute regarding our services or charges, please contact us within 14 days of the issue arising. We are committed to resolving disputes fairly and promptly. Most issues are resolved within 5 business days.

Before initiating any formal dispute or chargeback, we ask that you contact us directly first. We will always work in good faith to resolve issues quickly and fairly.

7. How to Cancel

To cancel your engagement, please:

  • Send a written notice to info@thebookkeepingcompany.us
  • Include your firm name, the service plan you are on, and your intended last date of service
  • We will acknowledge your cancellation within 2 business days and confirm the end date based on the 9-week notice requirement
